1. Information We Collect

We collect information that you provide directly and information generated through your use of BriteCover:

Account Information

  • Name and email address
  • Organization name and details
  • Password (stored in hashed form)
  • Role within your organization (owner, admin, agent)

Business Data

  • Lead and customer information you enter into the platform
  • Policy, quote, and renewal records
  • Tasks, notes, and referral data
  • Carrier and product configurations

Usage Data

  • Pages visited, features used, and actions taken
  • Device type, browser, and operating system
  • IP address and approximate location

AI Interaction Data

  • Queries and messages sent to the BriteCover AI
  • AI-generated responses and suggestions
  • Tool calls and their results within AI conversations

2. How We Use Information

We use collected information to:

  • Provide, maintain, and improve the Service
  • Process your subscription and billing through Stripe
  • Generate AI-powered insights, including lead scoring, product matching, renewal risk analysis, and daily briefings
  • Send transactional emails such as renewal reminders, invitation links, and password resets
  • Respond to support requests and inquiries
  • Detect and prevent security threats or abuse
  • Comply with legal obligations

3. Data Sharing and Third Parties

We share your information with the following service providers, solely for the purposes described:

Stripe — Payment Processing

Processes subscription payments. Receives billing-related information. See Stripe's Privacy Policy.

Resend — Transactional Email

Sends emails on our behalf (renewal reminders, invitations, password resets). Receives recipient email addresses and message content.

Amazon Bedrock — AI Processing

Processes AI requests (lead scoring, daily briefings, AI assistant). Receives the context necessary to generate responses. Does not store your data after processing.

Vercel — Hosting

Hosts the application and serves web pages. May process standard web request data (IP address, user agent).

Neon — Database

Stores all application data in a managed PostgreSQL database. Data is encrypted at rest and in transit.

We do not sell your personal information. We do not share your data with third parties for their marketing purposes.

4. AI Data Processing

When you use AI features in BriteCover, your queries and relevant business data are sent to Amazon Bedrock for processing.

  • Amazon Bedrock processes your data to generate AI responses but does not retain your data after processing is complete.
  • Your data is not used to train or improve AI models.
  • AI interactions are processed in real-time and are not stored by the AI provider beyond the scope of the request.
  • We may store AI conversation history within the platform to provide continuity in your interactions.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service.

  • Active accounts: Data is retained for the duration of your subscription.
  • After cancellation: Data is available for export for 30 days, after which it is permanently deleted.
  • Legal obligations: Some data may be retained longer if required by law.

6. Security Measures

We implement industry-standard security measures to protect your data:

  • All data is encrypted in transit (TLS/HTTPS)
  • Database data is encrypted at rest
  • Passwords are hashed using secure algorithms
  • Access controls enforce role-based permissions within organizations
  • Regular security reviews and updates

While we strive to protect your information, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security.

7. Your Rights

You have the right to:

  • Access: Request a copy of your personal data.
  • Correction: Update or correct inaccurate information.
  • Deletion: Request deletion of your account and associated data.
  • Export: Export your data in a portable format.
  • Objection: Object to certain types of data processing.
